Pain Point: Low Customer Conversion Rates Due to Scheduling Friction
Scheduling product demos was a major bottleneck in the sales process, leading to low customer conversion rates. Sales teams struggled with filtering leads, personalizing demos, and coordinating follow-ups, often losing potential customers due to delays and missed opportunities.
Research & Insights
To better understand the challenges in scheduling demos, we conducted 5 user interviews with sales reps, gathering qualitative insights on their pain points. Many reported frustration with juggling multiple tools to track customer interactions, leading to missed follow-ups and lost opportunities. Additionally, analytics data revealed that 30% of potential customers dropped off during the booking process due to unclear scheduling options. These insights guided our design decisions, ensuring the new flow addressed both usability issues and business needs.

Simplifying workflow creation
One of our key challenges was: How might we make workflow creation effortless for all users? Through user research, we discovered that most of our target users were neither tech-savvy nor familiar with AI tools. This insight underscored the need for an intuitive, user-friendly design that accommodates users of all technical backgrounds.
Our initial approach focused on streamlining the setup process by grouping related forms and introducing a three-step guided onboarding flow. This structured approach helped users configure settings easily while learning about the platform’s capabilities in a seamless manner.

Design Evolution: From Manual to AI-Powered Simplicity
To further enhance usability, we introduced a fully customizable AI assistant builder. Instead of requiring users to manually create complex workflows, we developed an interactive drag-and-drop canvas, allowing for intuitive flow creation.
Taking simplification even further, we leveraged Generative AI to eliminate the need for manual setup altogether. With an integrated chat-based assistant, users can simply describe their needs in natural language, and the AI automatically generates a tailored workflow. This innovation dramatically reduces friction, making advanced AI workflow creation accessible to everyone—regardless of their technical expertise.

Challenges & trade-offs
Like any project, we encountered several challenges that required strategic decision-making:
Time Constraints: We had a tight development timeline, so we prioritized high-impact usability improvements over less critical UI refinements.
Technical Limitations: The development team had existing backend constraints, limiting our ability to introduce certain features. We worked closely with engineers to find workarounds that preserved usability while staying within technical feasibility.
Business Priorities vs. User Needs: Some stakeholder requests focused on revenue-driven features, while user research highlighted usability issues. We balanced both by advocating for a user-first approach while aligning our solutions with business objectives.
By navigating these challenges thoughtfully, we delivered a design that was both user-friendly and feasible within the given constraints.
